PUBLIC SERVICE SECRETARY

The City of Kettering has an excellent opportunity for an administrative professional! The Public Service Department is recruiting to fill the regular full-time position of Secretary. This position is responsible for conducting the day-to-day operations of the front office, including customer service, personnel and financial duties, work order requests and data tracking, and contract/vendor set-up. Responsibilities include a variety of administrative duties exercising independent judgment in the application of prescribed procedures and methods to routine operational matters. Duties performed under the general supervision of the Department Director.
Duties of this position include composing and proofing replies to correspondence independently, in accordance with established procedures; preparing accounting and statistical tables, reports and miscellaneous materials for both operational and capital improvement functions; serving as a receptionist, answering the telephone and giving general or applicable departmental information in response to public inquiries; assisting in budget and other financial record preparation; handling petty cash; maintaining time cards and preparing bi-weekly payroll, indicating necessary adjustments; maintaining confidential departmental files, including personnel information and training records; initiating and preparing requisitions, vouchers and purchase orders for supplies and equipment; keeping records of supplies disbursed; maintaining calendar of events and making appointments upon request; establishing and maintaining operational and electronic file systems; preparing official documents, including web page content and seasonal informational articles, related to the operation of the Department; relaying messages and assisting in facilitating departmental communication; dispatching and receiving radio messages; performing routine administrative duties for the Department; serving as Accela Government Software administrator.
Considerable knowledge of office practices, procedures and filing systems, and excellent computer, word processing and data entry skills. Must possess excellent multitasking and interpersonal skills. Proficiency in using Microsoft Word, Excel and the ability to become proficient in Accela Government Software. Must have excellent oral and written communication skills, and the ability to work and communicate effectively with staff, vendors, City officials and the general public.
The pay range for this position is $23.01/hour to $32.63/hour; excellent benefits. Entry rate is contingent on candidate’s related skills, education, knowledge and abilities.
