The City of Kettering is recruiting to fill a regular part-time Clerk position in the Fire Department. Reporting to the Assistant Fire Chief of Administration, this position provides administrative and clerical support to Fire Administration and other personnel as assigned.  The Clerk directs telephone calls to appropriate personnel, answers questions from the public, schedules various activities and requests from the public; including but not limited to, CPR and First Aid classes, car seat inspections, public education and public relations activities. The Clerk also assists with coordinating the Fire Department’s quartermaster system and office supplies including ordering and maintaining inventory of fire Department related supplies and equipment, stocking supplies and equipment requiring lifting boxes, and coordinating the repair of various equipment such as protective clothing; coordinates all activities in the ordering, stocking and issuing of uniforms, including monitoring and tracking receipts and invoices for payment. The candidate must be able to become proficient in a Records Management System (RMS) and be able to generate reports from the RMS based upon criteria established.  The Clerk serves as primary backup for payroll data entry in the absence of the secretary; acts as the department’s records retention clerk; coordinates the tracking, filing, microfilming, and disposal of all records; becomes familiar with all laws and City policies regarding records retention; and prepares agendas and minutes of various meetings and maintains confidentiality.


The ideal candidate will possess excellent clerical and organizational skills along with a good knowledge of office clerical practices, procedures and filing systems; excellent computer word processing skills, spreadsheet preparation, and proficiency in using Microsoft Word, Excel, and other software programs, including database and records management. Must have exceptional customer service skills, possess excellent oral and written communication skills, be proficient in business English and grammar with excellent proofreading skills, and the ability to work and communicate effectively with staff, City officials and the general public.


Pay range is $13.13 to $20.44; entry rate contingent upon the applicant’s skills, knowledge and abilities.  Excellent prorated benefits.
