The City of Kettering is seeking an exceptional, executive-level Secretary for the Law Department-Civil Division. Candidates must demonstrate the ability to perform diversified secretarial and administrative tasks including typing, filing, and utilizing a computer for word processing. Duties include composing and typing legal memoranda, records, reports, legal documents, and other materials from clear copy or rough draft; serving as office receptionist and performing a variety of advanced clerical tasks related to Law Department functions. The ideal applicant will have: excellent administrative, organizational, customer service, technological, and communication skills, a high level of proficiency in office computer applications, an aptitude for learning new technology and software programs; and a good working knowledge of administrative procedures and the legal system. The Secretary will serve as Secretary to the Law Director.
Excellent administrative, organizational, customer service, and communication (oral and written) skills; a high level of proficiency in office computer applications and word processing; and the ability to deal effectively with all levels of staff, City officials, police, witnesses, and the general public. Good working knowledge of legal principles and practices, legal research techniques, legal terminology, and legal communication principles and practices, local, state, and federal laws and regulations, office terminology, procedures and equipment, business arithmetic, and English; some knowledge of elementary bookkeeping. Ability to transcribe dictation at a reasonable speed. Proficiency and accuracy in typing. Excellent computer processing skills with proficiency in the use of Microsoft Office (particularly Word, Excel, and Access), other related software programs, and LexisNexis. Ability to maintain complex clerical records and prepare reports from such sources. Ability to make routine decisions in accordance with laws, ordinances, regulations, and established policies. Ability to understand and follow complex oral and written directions; accurate spelling and grammar skills; general clerical aptitude; uses good judgment; displays tact and courtesy; ability to get along well with others; aptitude and ability for learning new technology and software. Regular and predictable on-site attendance required.
Considerable experience in secretarial work involving drafting legal correspondence, contracts, documents, and forms, typing, filing, and office organization. High school diploma or equivalent with additional business school training relating to secretarial, legal, and office skills, or any equivalent combination of training and experience that provides the required knowledge and skills. Preferred qualifications include: degree in paralegal studies or paralegal experience, experience performing legal research, three to five years of work experience in a law firm or office, experience in municipal or other government organizations, and the ability to use Lexis Nexis.
The current pay for this position ranges from $22.45/hr. ($46,696/yr.) up to $31.83/hr. ($66,206/yr.). Starting rate is contingent upon the candidate’s related skills, education, knowledge, and abilities. Excellent Benefits.
