Businesses: Magnetic Media Reporting For Tax Year 2007
The City of Kettering’s diskette specifications conform to the Social Security Administration’s Specification for Filing Forms W-2 Electronically (EFW2) with some minor changes that are covered below. Effective tax year 2007, the Social Security Magnetic Media Reporting and Electronic Filing (MMREF) publications have been renamed to Specifications for Filing Forms W-2 Electronically (EFW2), formerly MMREF-1. All references to MMREF-1 have been replaced with the new acronym EFW2. It is advised that you obtain a copy of the Social Security Specifications for Filing Forms W-2 Electronically For Tax Year 2007 (EFW2) to use as a reference. You may obtain a copy of this publication by visiting the SSA web page located at http://www.ssa.gov/employer or by contacting your local SSA office. If the information we receive does not meet the specifications in SSA Pub. EFW2 and this document, it may be returned to you unprocessed.
1).	For Tax year 2007, wage information will be accepted on the following types of media:
		3 1/2" Diskette - must be either double-sided/double density or double-sided high density, and must be MS-DOS compatible. Virus scan the diskette before submission.
		CD-ROM Mode 1 is the mode used for CD-ROM's that carry data and applications only. Do not create the CD-ROM with the option that it must be read from a specific disk drive letter.
2.)	Record “RS” is required by the City of Kettering. A separate “RS” record is required for each city, which will include local taxable wages, local income tax withheld and taxing entity code. The taxing entity code should be the first five characters of the city of withholding, such as “KETTE” for Kettering.
3.)	When submitting diskettes, please be sure to label the outside of each diskette:
		Company Name, Address and Phone Number
		Federal Identification Number
		City Account Number
		Tax Year Reporting
		For multi-diskette files, indicate the proper sequence (i.e. Disk 2 of 3)
